Important Information Ahead: Master Service Agreement

  1. This is an estimate, not a quote. It’s based on the information provided and the concept presented. It must be reevaluated once the client/agency agrees with us on the final concept and deliverables. Changes in concepts, production details, or deliverables, once the project is underway, will impact costs and will need to be evaluated to determine if the quote will change. If necessary, the quote will be revised and must be approved before proceeding.

  2. BrandStudio doesn’t script or storyboard projects. We shoot and edit in a documentary style, based on interviews and reporting. Brand sources need to have relevant information for interviews.

  3. Revision rounds. The client only has two (2) revision rounds per content. Any additional rounds are not included in the estimate and/or quote, and will be charged separately. The fee will be $125 per additional revision round for written articles. For videos, the fee will be $50 per hour worked by the editor.

  4. Duration of the proposal. Once the project and quote are approved, the client/agency has the current year to complete the project (See Custom Content Creation Pipeline). If the project is not completed by the end of the current year, there will be no rollover to the next year and the investment will not be returned to the client. 

  5. We produce our content using brand sources and regular folks. Normally, talent costs are contemplated within our production costs, except when noted in the proposal details slide (usually in the case of influencers or celebrities). If the client/agency prefers to use a specific talent that’s out of this scope, it will be quoted and paid for separately if the project has been already approved. If it’s discussed beforehand, the quote will be revised accordingly.

  6. The content results reports will be provided two weeks after the campaign ends. If it is a multi-content campaign, there is only one final report; we do not provide individual content reports. 

  7. A deliverables timetable will be provided by the BrandStudio team once the project and quote are approved. The dates are subject to change if there is a delay in the pre-production or production stages.

  8. If the client wishes to use any of the photos made within the scope of a BrandStudio campaign/photoshoot in other media outlets outside of GFR Media's ecosystem, a $150 fee will apply to each photo to be used in other media outlets.

 Custom Video:

  1. We do not receive clients or agencies in our shoots. 

  2. If your proposal includes video, our estimate includes the classic production details within the scope of the idea presented (basic crew —producer/interviewer, videographer, sound recordist—, basic equipment, filming, editing, stock music, and basic graphics). If your project needs other crew members —hair and makeup artist, food stylist, set dresser, drone operator, graphic designer or motion graphics designer— their services need to be quoted separately.

  3. Revision rounds. The client only has two (2) revision rounds per content. Any additional rounds are not included in the estimate and/or quote, and will be charged separately. For videos, the fee will be $50 per hour worked by the editor.

  4. Spanish or English subtitles, as well as translations, are not included in the quote. If you are interested in these services, please let us know so we can quote them. The subtitle fee is subject to change according to the length of the video. 

  5. Our videos include simple motion graphics. If you are interested in creating custom graphics or video infographics, please let us know so we can quote them.

  6. Our videos include the use of one (1) stock music. If you wish to include more than one song in your video, or if you need to create custom music, please let us know so we can quote them.

  7. We cannot use GFR Media’s editorial images or footage for our commercial content. Additional use of stock footage or images are not included in the estimate and need to be quoted separately.

  8. Our rate card and/or proposal includes the number of talents per video. If you need to increase the number of talents, let us know, as additional talent costs are not included in estimates and will be charged separately.

  9. We have a strict COVID-19 protocol during our shoots to protect our talents and our crew. Any violation of this protocol may result in the cancellation of the project.

  10. Our videos have a duration of up to five (5) minutes. If you wish for your video to be longer, please let us know, as this impacts the production cost and will need to be quoted separately. 

  11. We will store the final render (not the raw footage) of every video project for six (6) months after the publication date. After that, we cannot guarantee the video will be available. If the client needs us to store a copy for up to one (1) year, please let us know.

  12. Outside of Puerto Rico, production and talent costs are not included in this estimate and will be charged separately.

  13. Brand materials used in videos or photo shoots must be provided by the client. If this is not possible, the costs of these will be included in the final quote.

Custom Content:

  1. Content briefs are vital to the work we produce. If the brief does not have all the information we require to begin a project, or if it arrives too late, it will directly impact our workflow and timetable.

  2. Revision rounds: The client only has two (2) revision rounds per content. Any additional rounds are not included in the estimate and/or quote, and will be charged separately. The fee will be $125 per additional revision round for written articles. 

  3. The design of print articles and multipage features are not shared for revisions before publication. They follow the visual style/guidelines of our publication. The client does see the texts and photos before our design process.

  4. We use G Suite/Google Docs as the sharing platform for client review. During the Client Review Stage, we will not accept Word Documents without track changes. If your company does not allow access to G Suite, please, let us know beforehand.

  5. We cannot guarantee a specific social media post time slot, as we depend on the availability provided by the editorial team at GFR Media. However, we will do our best to find a convenient time slot for your publication, if requested.

  6. The client must provide the following assets for web articles: Facebook Handshake, photos (for Publishing Partner Program or other content without custom photoshoots), web banners and redirect link for said banners. The banners dimensions should be:

 Content Use:

  1. Videos can be used by the client on their owned channels (Website, Facebook Page, Instagram Page, and YouTube Channel). Use in other media channels, such as television, billboards, cinema, other print or web publications, radio, podcasts, etc., are not permitted and/or covered in the scope of work.

  2. Talents are the variable that must be resolved. If notified before the project, we can provide a client release to talents that covers their owned channels. (We provide a GFR platform release that only covers our properties). 

  3. If talent desires additional compensation for distribution on client’s owned channels and other media, the client must provide payment to talent directly or our quote must be revised to include the said amount.

  4. A contract (provided by GFR Media) must be signed by the client to receive content for external use. 

  5. A licensing fee of $5,000 per video will be added if the client wishes to use the content for television, cinema, radio, or other web and print media. Talent fees for said uses will also be negotiated and charged separately. 

  6. If the client wishes to use any of the photos made within the scope of a BrandStudio campaign/photoshoot in other media outlets outside of GFR Media's ecosystem, a $150 fee will apply to each photo to be used in other media outlets.

Cancelation Policy and Termination:

  1. 3 cancellation fees apply to BrandStudio projects. If you're considering a cancellation, ask us in what phase the project is at that moment. Decide accordingly. 

    • The pre-interview phase cancellation is a 10% fee. 

    • The article production phase is a 30% cancellation fee. 

    • The video production phase is a 50% fee. 

  2. Project termination: Once the project is approved, the client/agency has the current year to complete the project (See Custom Content Creation Pipeline). If the project is not completed by the end of the current year, there will be no rollover to the next year and the investment will not be returned to the client. 

BrandStudio Custom Content Creation Pipeline:

  1. Content Strategy Stage: 

    • The client delivers a content brief (template provided by the BrandStudio team), providing all the necessary information for us to create the content strategy. A follow-up call will be scheduled if necessary to discuss the client brief. The client must provide as much information as possible in the brief.

    • The BrandStudio team will research the subject matter to identify potential content concepts and strategies. If necessary, the BrandStudio team will research potential subjects or sources that will help us tell the story in what is called a pre-interview. These are experts on the subject matter and/or regular folks or both, depending on the concept and content brief provided by the client.

    • The BrandStudio team will deliver the client the custom content strategy or concept. This concept will be approved by the client before pre-production begins. Any changes in the concept will directly impact the production and post-production stage and can incur further charges for the client.

  2. Content Pre-Production Stage:

    • Video content - Our production team will coordinate casting, pre-interview, location scouting, and interview guidelines.

    • Written content - The BrandStudio team will coordinate interview and photoshoot dates with the brand sources.

    • A deliverables timetable will be provided by the BrandStudio team. The dates are subject to change if there is a delay in the pre-production or production stages.

  3. Production Stage:

    • Video content - We interview subjects and capture visuals and footage to support the interview.

    • Written content - Our journalists will interview the brand sources and write the articles.

  4. Post-Production Stage: 

    • Video content - We then grab all footage and interview audios, organize it, and start editing to create the story that will communicate the agreed-upon message.

    • Client Review - We then send the first draft to the client to receive first impressions and feedback. The client has two (2) rounds of revisions. If the client wants more revision rounds, there will be additional charges.

    • Client Approval - Completion of video piece with final visual and audio details or written article and photoshoot.

  5. Distribution Stage:

    • Prepare the content for distribution on our publishing platforms. The client must provide the assets before this stage.

    • Time to publish from proposal approval is 3-4 weeks (this is estimated and does not take into account client timings of feedback and approval)

    • The content results report will be created and provided two weeks after the completion of the campaign. There will be one report per campaign, not per content.
